Tenant Find / Setup Service:
£390.00
A one-off fee from the first month's rental. Payable only once a tenant has moved in and rent has been received.
Tenant Find / Setup & Full Management Service:

10% of any rent received (minimum fee £45.00)

Plus a one-off administration fee of £290.00, deducted from the first month’s rent for the tenant find service. Payable only once a tenant has moved in and rent has been received.
Exclusive Portfolio Management Service:
Price on Application (POA) - Details of services and fees will be confirmed in writing before instruction.
Rent Collection Service:

4% of any rent collected (minimum fee £20.00 per rent collection)
Comprehensive Tenant Screening:

£15.00 per tenant screening
A comprehensive screening is conducted for every approved tenant through the Canopy portal and is charged per applicant submitted for referencing. This fee applies regardless of the outcome, whether unsatisfactory or incomplete.

Pay-As-You-Go Landlord Services
Standalone services for landlords who do not require full management but need assistance with specific tasks. Move-Out Service Only: £150.00 Includes: - Meeting with the current tenant to collect keys - Reviewing the inventory (if available) - Taking photos of the property's condition - Informing the current providers, Council Tax department, and Landlord Tap Written Inventory with Photos: £110.00 Letters and Notices: £100.00 per letter Includes first-class signed-for postage with Royal Mail. Examples of letters or notices: - Market appraisal letters - Rent arrears letters - Change in rent notice - Possession notice for serious rent arrears - Abandonment notices Statutory notices are served only where legally required and where Silver Oak Property is not already instructed under a full management agreement covering such services.

Tenant and Contract-Holder Scale of Fees and Permitted Payments
Silver Oak Property Limited does not charge contract-holders or prospective contract-holders any administration fee, application fee, referencing fee, contract fee, renewal fee, check-in fee or check-out fee.
The only payments that may be requested from a contract-holder or prospective contract-holder are permitted payments under the Renting Homes (Fees etc.) (Wales) Act 2019 and any applicable regulations.

Permitted payments may include:
Rent
The rent due under the occupation contract.
Security deposit
A refundable security deposit, where required, which will be protected in an authorised tenancy deposit scheme.
Holding deposit
A refundable holding deposit, where required, limited to no more than one week’s rent. The holding deposit will be dealt with in accordance with the Renting Homes (Fees etc.) (Wales) Act 2019 and Silver Oak Property Limited’s Holding Deposit Terms.
Utilities, communication services, TV licence and council tax
Payments for utilities, communication services, TV licence and council tax may be payable where the contract-holder is responsible for these under the occupation contract.
Default payments
Default payments will only be charged where permitted by the Renting Homes (Fees etc.) (Wales) Act 2019 and any applicable regulations. Any default payment must be reasonable, evidenced, and limited to the actual cost or permitted amount.
Late payment of rent or other money due under the occupation contract
Where rent or other money due under the occupation contract is more than 14 days in arrears, interest may be charged at 3% above the Bank of England base rate from the due date until payment is made.
Lost keys, security devices, replacement locks and alarm codes
If a contract-holder loses keys, fobs, security devices or other items needed to access the property, the contract-holder may be required to pay the evidenced actual cost of replacement. This may include the actual cost of replacing locks or security devices where this is necessary for security.
Unpaid rent, arrears, breach of contract and enforcement costs
The contract-holder may be liable for reasonable losses, costs, fees, damage costs and expenses properly incurred as a direct result of their breach of the occupation contract, including unpaid rent or other money due. Any such sum must be lawfully recoverable, reasonable, evidenced, and not a prohibited payment.
Bank charges caused by failed payment
Where a cheque, standing order, direct debit or other payment method fails or is withdrawn by the contract-holder’s bank, the contract-holder may be required to pay the reasonable and evidenced actual bank charge or cost incurred, where legally permitted.
Failure to return keys or security devices at the end of the contract
At the end of the occupation contract, all keys, fobs and security devices must be returned. If they are not returned, the contract-holder may be required to pay the reasonable and evidenced actual cost of replacement, including replacement locks or security devices where this is necessary.
Missed check-out appointment
Where a contract-holder agrees to attend a check-out inspection and fails to attend without reasonable notice, the contract-holder may be required to pay the reasonable and evidenced actual cost incurred in arranging a further check-out appointment, where legally permitted. No charge will be made unless an actual cost has been reasonably incurred.
Costs exceeding the security deposit
If the security deposit is not sufficient to cover rent arrears, damage, breach of contract, replacement keys, replacement security devices, cleaning, repairs, or other sums lawfully due under the occupation contract, the contract-holder remains liable for any additional amount properly due. Any such amount must be reasonable, evidenced, and lawfully recoverable.
Further Written Statement of Occupation Contract
A contract-holder may request a further copy of their written statement of occupation contract at any time.
A reasonable administration fee may be charged for providing an additional copy. The fee will reflect the actual cost of preparing, printing and supplying the document.
False or misleading information during application
Silver Oak Property Limited does not charge an application fee or referencing fee. Where a prospective contract-holder provides false or misleading information during the application process, this will be dealt with in accordance with the Renting Homes (Fees etc.) (Wales) Act 2019 and Silver Oak Property Limited’s Holding Deposit Terms. No separate referencing or application fee will be charged.

Additional Costs
The following charges apply to landlords only, unless expressly stated otherwise. No charge will be made to a tenant / contract-holder unless the payment is permitted by Welsh legislation.

Withdrawal or Termination of Lettings Management Services
The equivalent of one month’s rent.
This fee applies where a landlord withdraws, terminates, or transfers a property away from Silver Oak Property Limited after we have been instructed to provide letting or management services. This includes cases where a landlord terminates management while an occupation contract arranged or managed by Silver Oak Property Limited remains in place.

Vacant Property Visits for Insurance Purposes: £50.00 per visit
This charge applies where a landlord requests or agrees for Silver Oak Property Limited to carry out vacant property visits for insurance purposes, for example during extended vacancy periods, probate, sale preparation, or between tenancies.
This is not a standard tenant fee and does not apply to tenants / contract-holders.

Document Request from Archives – £50.00
This charge applies where a landlord, former landlord, vendor, solicitor, accountant, or other third party requests duplicate, replacement, or archived copies of documents that have already been provided.
No charge is made for the initial provision of statutory documents. No charge is made to a tenant / contract-holder where the document must be provided free of charge by law.
This service covers the retrieval and re-issue of documents held in our archives, limited to the previous five years. Documents will be supplied electronically unless otherwise agreed, subject to availability.

Marketing Appraisal / Written Opinion of Value Letter – £100.00
A fee charged for the preparation of a written marketing appraisal or written opinion of value for sale or rental purposes, where a formal written document is specifically requested.
This document provides a written opinion of market value or achievable rent and is not a formal RICS valuation. No charge is made to tenants / contract-holders, and no charge applies for informal verbal advice or standard marketing appraisals provided as part of a sales or lettings instruction.

Other Services / Additional Administration Charges: £50.00 per 30 minutes or per visit
This charge may apply where a landlord asks Silver Oak Property Limited to carry out work outside the agreed service package, or where additional work is reasonably required because of a property-specific issue.
Examples include additional property visits outside the agreed inspection schedule, attendance to provide access for contractors, additional meetings, additional written correspondence, document preparation, arranging or overseeing works outside the agreed management service, or dealing with matters not included within the standard tenant-find, rent collection, or full management service.
The charge is calculated in 30-minute blocks, or per visit where a visit is required. The charge will be confirmed to the landlord before it is incurred where reasonably possible.
Third-party costs, contractor invoices, materials, certificates, postage, parking, or travel costs are charged separately where applicable.

Processing Fee: £15.00
A flat fee charged for administrative services such as refunding, reallocating, or transferring payments where Silver Oak Property Limited has not been appointed to provide full management or rent collection services.
This may apply where a landlord, vendor, contractor, purchaser, previous landlord, or other third party sends funds to Silver Oak Property Limited in error, or where funds are received and additional administration is required to identify, reconcile, refund, or transfer the payment.
This fee does not apply where Silver Oak Property Limited is appointed under a full management or rent collection agreement.
Where a tenant or former contract-holder sends money to Silver Oak Property Limited in error, including payments made after an occupation contract has ended, Silver Oak Property Limited may ask for reimbursement of any actual bank charges or direct third-party costs incurred in returning the payment. Any such cost will be evidenced and will not be treated as a standard tenant administration fee.
